In your service-based business, your brand voice is more than just words – it’s the bridge between how you present yourself (before the sale) and how you interact with clients, patients, or guests in person (around or after the sale). The closer these two align, the more trust and loyalty you’ll build. In this guide, we’ll explore why brand voice matters and how to refine yours for deeper connections and greater success.

Why Brand Voice Matters

Your brand voice – what you say and how you say it – sets the tone for your entire business. It communicates your values, personality, and approach before someone even walks through your door or books your services. A mismatch between your online presence (e.g. website, email, Instagram, TikTok) and real-life interactions can cause confusion or mistrust. For example, if your about page feels overly formal but your team is warm and casual in person, potential clients may hesitate to come any closer.

Minimizing this gap ensures you attract clients who feel connected to your approach, leading to more meaningful relationships and better outcomes.

(Here’s an about page I wrote in a casual, approachable brand voice.)

Subculture Shapes Your Brand Voice

Your brand voice isn’t just about tone; it’s deeply influenced by (1) your subculture and (2) the subcultures represented within your target audience. When tuning into your brand voice, consider these elements of human subculture:

Geography Affects Brand Voice

Which local phrases or customs might resonate with your audience?

Language Affects Brand Voice

Are you speaking formally, casually, or bilingually?

Socioeconomic Status Affects Brand Voice

Do your tone and the way you present your offers align with the lifestyles of your audience?

Family Structure Affects Brand Voice

Are your clients / patients singles, parents, or multigenerational families?

Food and Art Affects Brand Voice

Do you take the time to reference shared cultural experiences to add relatability and warmth?

The more you acknowledge these influences, the more authentic your voice will feel to your audience.

Where Your Brand Voice Shows Up

Your brand voice touches every part of your marketing, including:

Traditional Marketing

Business cards

Street / market signs

Brochures

Flyers

Digital Marketing

Website (e.g. the tone of your homepage heading)

Social media (e.g. the personality in your Instagram captions)

Emails (e.g. engaging subject lines that invite readers to open)

Blog Posts (e.g. storytelling that aligns with your values)

Forms (e.g. warm, inviting language in intake forms or service descriptions)

Consistency across these platforms ensures a cohesive experience, regardless of how someone first encounters your business.

How to Practice a More Organic Brand Voice

Developing an authentic brand voice takes practice. Here are some simple ways to get started:

Reflect on Your Natural Speech

Think about how you speak to loved ones when your guard is down. This voice often sounds and feels approachable and relatable.

Journal with Intention

Use journaling to capture updates in your clients’ or patients’ lives. As you reflect on their stories, think about the questions, conversations, and specific language surrounding those events.

Leverage ChatGPT

Artificial intelligence (AI) tools like ChatGPT can help you save time while honing your brand voice. You can ask ChatGPT to revise a caption to make it more playful, casual, or concise.

Example ChatGPT Prompt:

“Rewrite this email with shorter sentences and simpler language that would resonate with a millennial woman who grew up in coastal San Diego.”

Make sure you use AI without getting lazy. The goal is to make your marketing sound more like a person and less like a script.

Your Mindset Shapes Your Voice

If you feel hesitant to use your authentic voice because you fear it won’t seem “professional,” you may need to reevaluate your mindset around professionalism. In 2025 and beyond, professionalism is no longer confined to stiff, suit-and-tie personas.

Being a professional service provider means:

Communicating clearly

Building trust

Showing your personality

Your unique story, style, and voice can coexist with a strong reputation and growing revenue. In fact, these elements often make you more memorable and appealing to your target audience.

What We Covered

Your brand voice is your business’s personality, and it deserves attention. By aligning it with your real-life interactions, highlighting subculture, and practicing authenticity, you’ll build stronger connections, attract the right clients, and take your service-based business wherever you desire!

In the fast-paced world of content marketing, adaptability is often the key to success. Recently, I had a game-changing video call with a client that highlighted the importance of maintaining a flexible content marketing strategy for her business. A unique time in her business journey brought forth a need to deviate from the original plan and take a more dynamic approach to her email marketing and overall online presence.

Understanding the Seasonal Shift

Late spring felt good for this client, bringing in the desired revenue. However, as we ventured into the summer months, things started to feel a bit awkward. To address this challenge, we took a closer look at what had transpired during the spring season.

We delved into several critical aspects:

Content Strategy: How and how much content should be produced?

Exclusive Discounts: What percentage of discounts would resonate with the audience?

Holidays and Seasonality: How did the season affect the audience’s responsiveness?

Our analysis laid the groundwork for a new plan aimed at maintaining the momentum from spring while navigating the uncertainties of the summer season.

Embracing Flexibility to Drive Success

Rather than confining ourselves to a rigid content strategy, we opted to go with the flow. The objective was clear – to ensure that the client’s website content, email broadcasts, and social media posts continued to deliver results.

Our ultimate goal? To not only replicate the springtime revenue but also surpass it.

If you find yourself in a bit of a financial plateau, there are multiple ways you can reinvigorate your content marketing strategy. I’ll touch on three for now.

Keep in mind, my preference is to incorporate all three approaches at once. I believe this mix gives you room to stay flexible, creative, and strategic with your content marketing. Let’s take a quick look:

Meeting Content Quotas

To get yourself out of a content slump and start selling your offers consistently, you might consider content quotas. These could be weekly or monthly goals that define the number of posts you intend to share on each of your digital platforms.

The key is to show up consistently and maintain a strong online presence to engage with your audience.

Warning: If you sense that these content quotas might give you an excuse to just post – but not post well – then perhaps you should steer away from huge content quotas.

For example, if 7 TikToks and 7 Instagram posts per week sound magical, but it’s not realistic for your available time and energy, then you will undoubtedly end up sacrificing quality. Your messaging will be off-brand and you won’t be proud of the result (both artistically and financially).

On the flip side, once you evaluate your realistic posting schedule, let’s say 4 TikToks and 3 Instagram posts per week, you can make sure that each of these 7 posts represent your brand well and help you meet your revenue goals.

As you take the next step, it might be tempting to just do what seemingly “everyone else” is doing online…

Learning from Competitors Without Copying

While it’s tempting to replicate successful strategies used by competitors, it’s vital to differentiate between research and plagiarism. Copying someone else’s work not only hampers your creativity but also risks legal disputes.

Instead, view competitors’ content as inspiration, learning from their tactics and adapting them to create a unique message for your audience.

Keyword: “adapting.”

Although you’re pulling inspiration from someone else’s content format, you want to give yourself space to break some rules and create content that stands out from your industry peers. When you view your content marketing strategy as one big experiment, you allow yourself to have more fun with the creative process that ultimately leads to the substantial revenue you’ve been aiming for.

Analyzing and Enhancing Creativity

The real game-changer lies in analyzing your past metrics. Dive into Google Analytics and social media insights to uncover patterns and develop hypotheses about what engages your audience and drives conversions. However, don’t simply repeat past successes – add a creative and timely twist to keep your content fresh and appealing.

Even if this means deviating from your original monthly content plan, it’s worth it to reach the right audience effectively.

I guess our mantra for the day could be: “Be flexible, and stay true to your brand.”

Having a flexible content marketing strategy can lead to several benefits:

Going live on social media even when it’s not in your plan can result in unexpected conversions.

Generating more revenue during slow weeks.

Gaining confidence in your ability to think creatively.

However, certain aspects of your content should remain consistent:

Brand voice: Maintain a consistent tone and style in your messaging.

Brand values: Align your content with your brand’s core values.

Brand personality: Infuse your personality into your content, whether it’s through emails, blog posts, or social media posts.

For further guidance on staying true to your brand, explore the widely known 12 Brand Archetypes that can help establish and grow your online presence, ensuring that your brand remains true to its identity.

What We Covered

Adaptability is the cornerstone of successful content marketing. By embracing flexibility while staying true to your brand’s core elements, you can navigate through uncertain seasons and achieve remarkable results, just as my client did.

Remember, it’s not about rigidly adhering to a plan; it’s about holding yourself accountable and responding effectively to the ever-changing landscape of digital marketing.

In the world of entrepreneurship, you’re the captain of your ship, responsible for charting your course to financial success. But with great freedom comes great responsibility. The more effort you invest in your business, the greater the returns, but how do you maintain work-life balance?

Separate Work From Self-Worth

First, let’s dispel the idea that our worth is solely derived from our work. It’s easy to fall into the trap of letting our professions define us – I mean, I’ve been there – but there’s a way to turn the tables.

When your work revolves around your passion, it becomes less of a chore and more of a fulfilling endeavor. You’ll find yourself working tirelessly, not out of obligation, but because you genuinely love what you do.

It’s an exceptional feeling.

However, not everyone finds this immediate gratification. Some are still navigating their roles within their businesses. Regardless of where you stand, achieving work-life balance while propelling your business forward is vital.

Balance v. Working on Demand

Now, let’s be clear: creating work-life balance doesn’t mean working only when you want. Entrepreneurship often demands sacrifices, especially if you aim to build a business that doesn’t leave you feeling like an underpaid employee.

To truly lead your business, you must adjust your expectations regarding your available time and energy. Prioritize your commitments accordingly.

6 Ways to Create Work-Life Balance as an Entrepreneur

Expecting business growth means being willing to temporarily sacrifice other aspects of life. Consider it a trade-off that can lead to long-term benefits. To strike this balance effectively, try these strategies:

Time Tracking

Use tools like Toggl or Google Sheets to monitor how long different tasks take. Each week, assess your efficiency, and consider outsourcing tasks to save time.

Deadlines

Don’t just track your time, but also build deadlines into your routine to push your workflow. Just make sure these deadlines don’t compromise the quality of your work.

Social Commitments

Make plans with friends or family who truly enrich your life (and support your business), and stick to them. External accountability can help you maintain boundaries.

Solo Time

Don’t underestimate the power of solo time, rest, and play without a strict agenda. It can certainly boost productivity. For me, it’s totally led to creative solutions surrounding my content marketing strategy.

Frequent Breaks

Don’t forget to take breaks during your workday. It’s crucial to be intentional about pausing, even if you can’t manage a mid-day outing (i.e. just walk around the neighborhood for 5 minutes).

Client & At-Home Boundaries

A great way to set clear customer/client boundaries is through written contracts. In my case, when I deliver a client contract at the start of the relationship, I can ensure that clients understand how we’ll work together and when they can expect to hear from me via email or Google Meet.

Lawyer-drafted, customizable contract templates like those offered by Coaches & Company can be invaluable in outlining your professional relationships.

On the other side of this boundary-setting conversation are at-home boundaries. Working from home poses unique challenges when it comes to separating work from personal life. Whether you’re a solopreneur or leading a team, striking this balance requires creativity.

And hey, even if you work outside of the home, this is your reminder to enjoy non-work conversations within your household.

Seasons of Imbalance

Understand that not every season will offer an ideal balance. Launching new offers, rebranding, hiring, or adapting to industry changes can create extra demands on your time and energy.

Recognize that these intense periods are temporary. In the meantime, identify healthy habits to cope with stress.

Valuing Your Work

After putting these tips into practice, perhaps you’ll find yourself frustrated by the amount of time and energy your work is consuming. Consider whether you’re undervaluing or overvaluing your work.

An undervaluing voice procrastinates, convinced that no one, not even you, will appreciate the work. On the other hand, an overvaluing voice demands perfection, leading to unnecessary pressure.

Find the middle ground that helps you reach the finish line effectively and efficiently.

What We Covered

The entrepreneurial journey is truly a balancing act. At the time of writing this, I’m only one year into my journey, so I’m sure I don’t know the half of it!

But already I get the sense that it’s about continually assessing yourself and seeking harmony between the demands of your business and your personal life.

So, my recommendation is to embrace it, set boundaries, and prioritize wisely.

One of the best things I did for my business (even before I knew it would exist) is return to a place of nervous system regulation. A place of internal safety.

I needed to experience a season where I didn’t have to hold my breath, trying to solve my problems by myself.

My family has played a huge role in this. Being able to ask them for help allowed me to regain stable footing so I could then enter a period of growth and creation.

And now I get to use this momentum to support others in their specific business goals.

So what’s one way you can take a little something off your plate, ask for help, and share your responsibilities, to return to a feeling of safety? And on top of that – incorporate an element of excitement for what you’re creating in your personal life and your business!

Have you ever worked one-on-one with an online coach? If you’ve been considering hiring a coach, I’ll tell ya this much: Don’t expect them to tell you what to do.

Working with a coach isn’t like working with a genie. They can’t grant your every wish on the spot…and that’s not a bad thing!

I think the real value of coaching is stepping into a relationship that inspires thoughtful conversation, full of curiosity and divergent thinking.

Over the last month, I’ve plugged into online coaching and community support way more than I had earlier this year. Between business coaching, alcohol-free coaching, and energetic coaching, I was in it!

Important to note: Those labels of “business,” “alcohol-free,” and “energetic” only scratch the surface. I give these coaches tons of credit for the depth of their work. I’m simply keeping this blog post short and sweet.

While no single coach gave me the exact road map to my business or personal relationships (because no one can see into the future), they did prompt me with proven frameworks and questions that have helped people like me in the past.

These questions have taken my journaling practice, my relationship with songwriting, and my approach to business to another level.

More on those details to come, y’all! For now, I’ll say…

Whether you hire a coach or not, here’s one simple way to start creating change in your life:

Ask the right questions.

The ones that make you pause. Make you imagine. Make you excited. And yes, even make you cry.

As a solopreneur — or someone who runs a one-person business — my desire is to grow my team over time, so I don’t have to say no to dream clients.

In the meantime, it’s just me. The kind of growth I’m imagining requires both mindset work and hands-on strategy.

Here’s what I’m doing online and offline, to grow my service-based B2B business.

How I’m Growing My Business Online

Every day I’m focused on improving my business ownership by 1%.

How I’m Growing My Business Offline

In a few weeks I’ll be thirty-one. That’s super young. But another year is never guaranteed. As an online business owner – and as a human – I’m ready to grow and exceed my original expectations.

Instead of waiting for the “right time,” each day I’m shifting my mindset in seven key ways. (Some are nerdier and more spiritual than others!)

Forceful Productivity → Restful Productivity

Audience Targeting → Keyword Targeting

Low Online Visibility → High Online Visibility

Last-Minute Panic Marketing → Sustainable Content Marketing

Guesswork → Intention

Victimhood → Leadership

Fast Track to Burnout → Proper Pacing

Let’s take a quick look at each of these seven mindset shifts for online business owners.

Forceful Productivity → Restful Productivity

Whether I’m creating a “me time” block in my Google Calendar or aligning my projects with my menstrual cycle, I get more done by continually tuning into the messages my body is sending me.

READ ABOUT RESTFUL PRODUCTIVITY

Audience Targeting → Keyword Targeting

By studying the questions, needs, and language of my ideal audience, I get to save money on ads while growing in my expertise and creating a more intimate connection with my clients.

READ ABOUT KEYWORD TARGETING

Low Online Visibility → High Online Visibility

I am only as hidden as I want to be. When it’s time to create more content on a wider variety of social platforms, I do so without the need for perfection.

READ ABOUT ONLINE VISIBILITY

Last-Minute Panic Marketing → Sustainable Content Marketing

Urgent action can be wise, but panic blurs my vision of the long-term goal. I reflect this in the way I manage my energy and plan my content ahead of time.

READ ABOUT SUSTAINABLE CONTENT MARKETING

Guesswork → Intention

“If I wake up 7 different days, maybe one day I’ll complete my project.” OR “For the next 7 days I’m going to dedicate 1 hour to finishing this project.” The latter is spoken by someone who’s resourceful and relentless.

READ ABOUT INTENTION

Victimhood → Leadership

Misfortune, pain, trauma…they’ve all been a part of my life. I can either own them or let them own me.

READ ABOUT LEADERSHIP

Fast Track to Burnout → Proper Pacing

Think about it – every athletic competition requires stretching, training, building, and sacrifice. And it also requires rest, recovery, reflection, and pacing.

READ ABOUT PACING

I haven’t learned any of this by myself. Grateful for those who have supported me throughout my life.
What about you? Which mindset shifts are you learning?

You. Cannot. Fail.

And I don’t mean: “You have to be perfect.”

I mean: This journey is your own, and the only way you can fail is by not starting at all.

Here you are. You’ve already begun!

I consider that a success.

Over the past few weeks, I’ve been doing my best to plan out my business procedures ahead of time. When I say “ahead of time” I mean, I’m already thinking about July and August…which used to only happen when I was an eight-year-old looking forward to a Disney trip.

Instead of only looking at the current month, I’ve been tidying up my calendar and creating content months in advance, because I’m anticipating a super busy season throughout the spring and early summer.

Not only will it be busy, but it’ll be full of new projects and goals I’ve never tackled before. I’m 100% up for it, but at times I can’t help but feel nervous.

It’s like starting a new semester at school. In a general sense I know what to expect. I’m happy to be here. But there are still surprises coming my way, which sometimes feel like cute butterflies and other times more like creepy crawlies.

At the end of the day, I know I can only control so much. There’s no predicting what the next few months will look like. All I can do is my best.

If you’re also anticipating a full schedule or new challenges during quarter two (April – June), then maybe these safety nets will help.

Safety Net #1: Expectation Setting

Clearly communicating expectations with clients during onboarding

Pacing myself within a given month so my clients see firsthand how I prefer to do things

Using my words intentionally, so they match my actions (and vice versa)

Leaving room to pleasantly surprise my clients and audience, by not overextending myself from the start

Safety Net #2: Stress Relief

Dedicating time each day to physical exercise, both indoors and outdoors

Being mindful of what I’m feeding my body, and how it might affect my brain power

Sticking to a standard sleep schedule, but giving myself extra rest when I need it

Spending time on activities that don’t have a particular goal attached to them (AKA play!)

Safety Net #3: Energy Management

Tackling the more complex to-do’s first so I can enjoy the sense of accomplishment

Moving onto more familiar or less intimidating tasks later in the day

Recognizing my most productive times of day, and applying those observations to my weekly planning

Honoring the way my energy shifts as a result of my monthly menstrual cycle

The idea behind these safety nets is this: Instead of assuming everything will simply work out, you’re stepping up to the challenge, solving small puzzles before they become massive problems, and letting the rest happen as it may.

And if you fall, there’s something beneath you to keep you from completely wiping out.

It’s a mix of “be responsible enough to prevent major setbacks” and “life was never meant to be predictable.”

Well, my friend…enjoy quarter two!

The truth is after being laid off from my brand manager job in April of 2022, I had been listening to a voice full of self-doubt, regret, and embarrassment.

The post 5 Business Statistics After 5 Months in Business (March 2023) appeared first on Kat Quintana.

Seven months ago, I made a promise to myself that would cost me everything.

I promised myself I would get uncomfortable and start putting myself out there as a business owner, well before I felt fully ready.

At the moment, I knew this promise would cost the entire way I saw my time, my intelligence, and my professional capabilities. Today, I’m so grateful I paid up!

Stop Sitting

In the summer of 2022, I started managing a restaurant. Loved the leadership role, loved the hustle, but I quickly knew it was time to go. I told myself, “If I leave this job, I won’t have any money, so I must act on this idea I’ve been sitting on.”

What was that idea?

Well, earlier that year I considered offering a copywriting service to small businesses. I wanted to help business owners spend less time on their websites, programs, and social media…and more time doing the things that only they could do.

That vision had since turned into blog content ghostwriting, which saves entrepreneurs time by giving them an endless source of social media content repurposing.

Plus, strategically written blog posts are great for SEO — and most entrepreneurs aren’t interested in studying SEO when they could be focusing on their specialties.

100% Facts

After leaving my restaurant job in August of 2022, I was pumped to develop a business plan for my new ghostwriting service, however…

A standard 9-to-5 job still sounded appealing, because of the financial stability associated with it.

So, one night I wrote a note to myself (well past my bedtime) and I made it my iPhone background.

“100% facts” to help me remain confident, and cute emojis just for fun

The note reads:

Using my time to gain experience and create tangible results will get me a worthy job more quickly than spending 7 days a week on job boards. By giving myself mini projects to work on and share with the world, I’ll walk away with experience, but also an impressive LinkedIn profile and a network of people who align with me and my goals. All I need is 2 months! August 22 – October 22.

Why was this note pivotal for me?

First, it served as a visual reminder that I had something to work on, in addition to applying for jobs on LinkedIn and Indeed.

Plus, the two-month timeline was the kick in the buns I needed to “just do it” because I didn’t want October 22 to find me totally unprepared.

The truth is after being laid off from my brand manager job in April of 2022, I had been listening to a voice full of self-doubt, regret, and embarrassment. My new motivational iPhone background was a small but powerful step toward turning the volume down on that negative voice.

Get Out There

If you were hanging out with me on Instagram, then you know that ready or not, on October 22 I started posting on social media again. No more hiding behind the scenes. KQ Writing Studio was out in the open.

And for the past five months, I’ve been committed to starting each “thing” before I feel completely ready. In turn, this has helped me develop an approachable brand that supports fellow entrepreneurs wherever they are in their business journeys.

Dang, dude — what a time! Let’s get into my five business statistics I’m happy to celebrate after five months in business.

KQ Writing Studio: 5 Months In

12 Clients Served

Between consulting and ghostwriting (plus some VIP monthly packages), I’ve had the pleasure of serving 12 businesses (mostly women-owned).

8 Industries Grown

I’ve learned a ton writing for brands within these fields:

home improvement

mental health

religious & spiritual

law

beauty

environmentalism

medicine

mentorship & coaching

50 Blog Posts Outsourced

Busy entrepreneurs have outsourced their blog post writing (x50), and I’m sure they’d tell you it was well worth the investment.

32,000+ Words Written

Okay, wow. That’s a lot of words!

200+ Hours Saved

Who knows how long each business would have spent conducting keyword research, outlining, and writing their blog posts?! I estimate 200 hours have been saved, at least.

Infinite Social Media Posts Repurposed

Thanks to the ghostwriting model of my business, each client has the freedom to repurpose my blog posts to their heart’s desire. This means an unlimited number of reels, TikToks, emails, carousels, etc.

“Yes, take my authorship. And yes, post these words everywhere!” is essentially what I’m telling my clients.

Looking Ahead

I’m grateful for every business owner who has trusted me enough to invite me into their world! And it won’t stop there.

I’m excited to see what the next five months bring. If you’d like to be a part of it, there are multiple ways for you to tap in:

Free Resource Library

Blog SEO Power Hour

Monthly Ghostwriting

Sustainable Content Marketing Course

Thanks for walking down memory lane with me! My challenge for you today is this:

Take five minutes to reflect on the past five months and all the ways you’ve evolved personally and professionally.

Cheers to our growth!
