Running a service-based online business by yourself requires constant organization and creativity, even when you’re stretched thin. Over time, I’ve developed four key practices that support my creative processes as an online freelancer. These methods help me tap into my best ideas while managing the unique challenges of solopreneurship.

Whether you’re a fellow entrepreneur or simply looking to level up your creative game, these practices could be the game-changer you’ve been seeking.

Menstrual Cycle Syncing: Rethinking My Most Creative Phase

As a solopreneur, I’ve learned that energy isn’t something I can force; it’s something I can flow with. By aligning my tasks with the phases of my menstrual cycle, I’ve discovered when I’m most creative, focused, or introspective:

I used to think the menstrual phase was my time to do as little as possible – a stretch of low energy where rest was the priority. While rest is essential, I’ve discovered this phase is also when my most inspired branding and marketing ideas flow naturally.

During this time, I find clarity in my vision and connect deeply with the “why” behind my business. It’s as if my intuition speaks louder than usual, allowing me to tune into ideas that feel truly aligned. By leaning into this reflective yet creatively rich phase, I’ve been able to shape marketing strategies and messaging that resonate on a deeper level than before.

Instead of sidelining this time, I now embrace it as one of my secret weapons for brainstorming and refining the heart of my brand.

Physical Exercise: Moving the Body & Sparking the Brain

It’s no secret that exercise is good for your body, but it’s a creative booster, too. Regular workouts – as I’m writing this weightlifting is my fave — help clear mental fog and unlock fresh perspectives.

When I hit a wall in my business or can’t quite crack a big idea, moving my body often moves my mind into a flow state. The endorphins are a bonus, leaving me energized and ready to take action on my ideas.

Incubation: The Power of Stepping Away

As solopreneurs, it’s tempting to push through to a final draft or solution, but I’ve found greater success by stepping away. Incubation – taking a break after rough drafting – gives my subconscious time to work behind the scenes.

When I return to the task, I often see the missing piece, a new angle, or a polished phrasing that wasn’t clear before.

Remember: Forcing creativity rarely works, but trusting the process leads to magic.

Positive Self-Talk: An Online Freelancer’s Superpower

Running a business solo means being your own cheerleader, strategist, and creative director. Positive self-talk (although I sometimes forget to practice it) has become my grounding practice when self-doubt creeps in or ideas feel stale.

Instead of thinking, “This isn’t good enough,” I remind myself, “This incomplete or messy idea is part of the process. Everything improves with time.” These small mindset shifts keep my creativity flowing and keep me moving forward as an online freelancer.

The Takeaway

Balancing creativity and productivity as an online freelancer takes intentional effort, but practices like menstrual cycle syncing, exercise, incubation, and positive self-talk make the journey smoother and more fulfilling. By honoring my natural rhythms, moving my body, giving my mind space to breathe, and cheering myself on, I’ve been able to bring my best ideas to life and grow my service-based business with confidence.

In the fast-paced world of content marketing, adaptability is often the key to success. Recently, I had a game-changing video call with a client that highlighted the importance of maintaining a flexible content marketing strategy for her business. A unique time in her business journey brought forth a need to deviate from the original plan and take a more dynamic approach to her email marketing and overall online presence.

Understanding the Seasonal Shift

Late spring felt good for this client, bringing in the desired revenue. However, as we ventured into the summer months, things started to feel a bit awkward. To address this challenge, we took a closer look at what had transpired during the spring season.

We delved into several critical aspects:

Content Strategy: How and how much content should be produced?

Exclusive Discounts: What percentage of discounts would resonate with the audience?

Holidays and Seasonality: How did the season affect the audience’s responsiveness?

Our analysis laid the groundwork for a new plan aimed at maintaining the momentum from spring while navigating the uncertainties of the summer season.

Embracing Flexibility to Drive Success

Rather than confining ourselves to a rigid content strategy, we opted to go with the flow. The objective was clear – to ensure that the client’s website content, email broadcasts, and social media posts continued to deliver results.

Our ultimate goal? To not only replicate the springtime revenue but also surpass it.

If you find yourself in a bit of a financial plateau, there are multiple ways you can reinvigorate your content marketing strategy. I’ll touch on three for now.

Keep in mind, my preference is to incorporate all three approaches at once. I believe this mix gives you room to stay flexible, creative, and strategic with your content marketing. Let’s take a quick look:

Meeting Content Quotas

To get yourself out of a content slump and start selling your offers consistently, you might consider content quotas. These could be weekly or monthly goals that define the number of posts you intend to share on each of your digital platforms.

The key is to show up consistently and maintain a strong online presence to engage with your audience.

Warning: If you sense that these content quotas might give you an excuse to just post – but not post well – then perhaps you should steer away from huge content quotas.

For example, if 7 TikToks and 7 Instagram posts per week sound magical, but it’s not realistic for your available time and energy, then you will undoubtedly end up sacrificing quality. Your messaging will be off-brand and you won’t be proud of the result (both artistically and financially).

On the flip side, once you evaluate your realistic posting schedule, let’s say 4 TikToks and 3 Instagram posts per week, you can make sure that each of these 7 posts represent your brand well and help you meet your revenue goals.

As you take the next step, it might be tempting to just do what seemingly “everyone else” is doing online…

Learning from Competitors Without Copying

While it’s tempting to replicate successful strategies used by competitors, it’s vital to differentiate between research and plagiarism. Copying someone else’s work not only hampers your creativity but also risks legal disputes.

Instead, view competitors’ content as inspiration, learning from their tactics and adapting them to create a unique message for your audience.

Keyword: “adapting.”

Although you’re pulling inspiration from someone else’s content format, you want to give yourself space to break some rules and create content that stands out from your industry peers. When you view your content marketing strategy as one big experiment, you allow yourself to have more fun with the creative process that ultimately leads to the substantial revenue you’ve been aiming for.

Analyzing and Enhancing Creativity

The real game-changer lies in analyzing your past metrics. Dive into Google Analytics and social media insights to uncover patterns and develop hypotheses about what engages your audience and drives conversions. However, don’t simply repeat past successes – add a creative and timely twist to keep your content fresh and appealing.

Even if this means deviating from your original monthly content plan, it’s worth it to reach the right audience effectively.

I guess our mantra for the day could be: “Be flexible, and stay true to your brand.”

Having a flexible content marketing strategy can lead to several benefits:

Going live on social media even when it’s not in your plan can result in unexpected conversions.

Generating more revenue during slow weeks.

Gaining confidence in your ability to think creatively.

However, certain aspects of your content should remain consistent:

Brand voice: Maintain a consistent tone and style in your messaging.

Brand values: Align your content with your brand’s core values.

Brand personality: Infuse your personality into your content, whether it’s through emails, blog posts, or social media posts.

What We Covered

Adaptability is the cornerstone of successful content marketing. By embracing flexibility while staying true to your brand’s core elements, you can navigate through uncertain seasons and achieve remarkable results, just as my client did.

Remember, it’s not about rigidly adhering to a plan; it’s about holding yourself accountable and responding effectively to the ever-changing landscape of digital marketing.

As you’re designing your brand, creating content, and improving your marketing strategy, you may find it difficult to tap into your creativity without the help of caffeine. You notice that your most productive work sessions are done after you’ve had your cup(s) of coffee.

Is this connection between creativity and coffee a myth? Is drinking coffee every time you need to get work done a sustainable way to approach your business (and overall lifestyle)?

If you don’t see yourself as an artist, or you’ve noticed you’re more of an analytical or systems-oriented person, then good on you for having that self-awareness. Still, I think at a certain point it’s good to admit that each and every one of us is creative. We all have an innate ability to make something out of nothing and develop outside-of-the-box solutions in a way that’s never been done before.

In this way, you are a pattern interrupter. You’re blazing your own trail. Maybe you’re thinking, “I don’t want to be a trailblazer. Life is so much easier when I get to follow someone else’s instructions.” I can relate to those feelings.

But I want to dispel the idea that creativity is difficult to access daily. Yes, everyone can act creatively without caffeine in their systems. That’s my opinion, at least.

With that said, caffeine has an undeniable effect on the nervous system, which controls our thoughts, movements, and ability to produce work.

The question is: Scientifically, how necessary is caffeine for you to show up as the best business owner you can be? Let’s consider this question from the perspective of scheduling creative work sessions into your business calendar.

What Is Needed For Productive Creative Sessions?

Whether you’re designing an email newsletter or batch-writing social media posts for the week ahead, your behind-the-scenes marketing activities require you to focus on your work without jumping to other distractions.

You need the ability to stick with the original plan, as well as solve problems as they arise. You also benefit from having attention to detail and a vision of the bigger picture, at the same time.

Investing the creative energy it takes to run a business requires a willingness to say “yes” to ideas that pop up in your mind, without overly referencing or relying on others’ work or ideas.

All of these attributes combined describe the ability to focus and solve problems.

How Does Caffeine Help You Focus and Solve Problems?

Scientifically speaking, there’s a lot that goes into the way coffee, black tea, matcha, and other caffeinated beverages affect the human mind. Shall we get a little nerdy? Okay, let’s do it!

Better Health Channel tells us that “caffeine is a stimulant, which means it increases activity in your brain and nervous system. It also increases the circulation of chemicals such as cortisol and adrenaline in the body. In small doses, caffeine can make you feel refreshed and focused.”

So does it actually help creativity? There seems to be mixed feedback.

“While the cognitive benefits of caffeine – increased alertness, improved vigilance, enhanced focus, and improved motor performance – are well established […] the stimulant’s effect on creativity is less known,” says a study published by the University of Arkansas.

An article from Inc.com uses coffee as the prime example of a high-caffeine drink:

“Coffee is enormously helpful to the creative process because it suppresses unwanted and unnecessary insights and instead helps you focus on the work at hand. It helps you get down to work, stay on the project, and make day-to-day progress, rather than daydreaming up new things that you might be doing instead.”

As we read about these effects, we have to remember that, just like with anything, each individual reacts a bit differently to caffeine.

What Is Detrimental About Relying on Caffeine?

Relying on caffeine to be productive in your business might be summarized as a placebo effect. In other words, creating the daily habit of drinking coffee before working can create a psychological reliance or superstition that “I can’t accomplish XYZ until I’ve had my coffee.”

Caffeine is known to make your adrenals work overtime. This can lead to a phenomenon known as adrenal fatigue, which can feel like lightheadedness, nervousness, and excessive tiredness even after getting a full night’s sleep.

Caffeine acts as a diuretic, so it depletes the gut of nutrients, electrolytes, and water, which are necessary for proper brain function.

These are good enough reasons to either stop drinking caffeine (if it’s affecting your well-being) or cut back significantly.

How Can You Produce High-Quality Creative Work Without Caffeine?

Believe it or not, you’ve got a lot of power to produce creative work without caffeine. You may have to change the lens through which you see coffee (or other caffeinated products), as well as the way you see your mind.

Here are a few quick perspective shifts:

As a human, you are naturally curious. Whether out loud or quietly, you pose questions, and then you answer them. This sort of problem-solving happens more intuitively than you might realize.

Your brain can only pay attention to so many things at once. By working through any conditions in any random environment, you may be overloading your brain more than you think.

As a society, we’ve been taught to work the same way as “everyone” (i.e. Monday through Friday, from 9 AM – 5 PM). By following this trend, you may be ignoring your body’s natural rhythms. Over time, you’ll find that forcing yourself to push past your natural limitations is unsustainable both personally and professionally.

What Are the Sustainable Ways to Access Your Creative Side?

I’d say you need a combination of focus and mind-wandering – or accessing your imagination. This combination can be reached through:

Mindfulness

Practicing moments of slowness and stillness, even apart from work sessions or moments of problem-solving

Environment

Setting up the right work environment (e.g. sights, sounds, smells, and room temperature)

Boundaries

Creating and reinforcing boundaries around your time and energy (e.g. turn on email away messages, turn off notifications, take breaks using the Pomodoro Method)

Cyclical Living

Maximizing your energy by managing projects and tasks in alignment with your natural cycles (i.e. sleep cycle)

For example, neuroscientist Andrew Huberman promotes fixing your relationship with sleep and cortisol, which occur naturally, but can also be manipulated by:

Early wakeups (around sunrise)

Sunlight exposure

Caffeine in healthy amounts

Physical activity (particularly intense exercise)

Early bedtimes

Ultimately, you will find the path that’s most sustainable for you after analyzing your deepest desires or non-negotiables.

Wrap-Up: Is Caffeine Necessary?

Caffeine can definitely have a positive impact on your creativity, but it isn’t absolutely necessary to complete your creative work. As an entrepreneur, it’s up to you to decide which routines you’re going to adopt, in order to creatively build a long-lasting business without burning yourself out.

A great place to start establishing a healthy way of accessing your creativity is collaboration. Working with and talking to like-minded people who fill various gaps in my skill sets has been highly beneficial for me as an entrepreneur. Collaborating with others naturally accelerates your growth – as long as you’re open to learning, of course.

This brings me to a beautiful opportunity I have for you.

My online coaching program, Sustainable Content Marketing (SCM) is a 12-week experience for entrepreneurs who are ready to create a consistent and effective content marketing plan. The investment for SCM is $6,000 (payment plans available). The doors are officially open!
