As an entrepreneur, you juggle multiple projects, client treatment plans, operations, team-building exercises, and a bunch of other daily responsibilities…all at the same time! Some days, finding time for content creation can feel close to impossible, huh? Want to connect with your audience online, but not at the expense of the work that keeps your business running? Good. Keep reading. In this guide, we’ll highlight ways to systematically keep up with content writing without sacrificing the rest of your workflow.

1. Start with one strong idea, and repurpose it.

Too many business owners think they need to come up with new ideas for every post. Instead, take one strong idea and reshape it into multiple formats.

Example: Let’s say you help clients with anxiety and stress management. Instead of writing five different posts from scratch, start with one topic:

“How to stop overthinking before bed.”

From there, repurpose it into:

A short, actionable “how to” post.

A “mistakes to avoid” post.

A personal story about how you overcame nighttime restlessness and sleep deprivation.

A Q&A post addressing common stress and sleep questions.

One idea, multiple ways to share it.

2. Use AI to streamline your writing process.

Writing content doesn’t have to feel like a never-ending homework assignment. With tools like ChatGPT, you can speed up the process without losing your unique voice. Think of AI as your brainstorming buddy, first-draft assistant, and content multiplier…all rolled into one. Here’s how to make it work for you:

Kickstart Your Ideas – Staring at a blank page is no fun. ChatGPT can throw out blog topics, outline key points, or even help you reframe an idea in a fresh way. Need a catchy headline for your wellness post? AI can spit out a dozen, so you don’t have to.

Draft Faster, Edit Smarter – You don’t have to agonize over every word in your first draft. Give AI a prompt, and it’ll generate a rough version you can refine. If you’re crafting an Instagram caption about gut health, ChatGPT can offer multiple variations, letting you choose the one that fits your brand’s tone best.

Turn One Idea Into Many – Like I mentioned above…why stop at one piece of content when AI can help you repurpose it? A single blog post can become an email, a post for Threads, or even a script for a short video.

AI won’t replace your creativity (and let’s be honest, it’s got nothing on your personality), but it can free up your time so you can focus on what you do best.

3. Set a time limit for writing.

Writing takes as much time as you give it. If you allow yourself two hours to write one post, you’ll probably take the full two hours. Instead, set a timer for 20 minutes and challenge yourself to finish a rough draft.

You can always edit and proofread later, but getting the words out quickly makes content creation feel easier.

4. Use a template for structure.

Every post doesn’t need to be reinvented from scratch. A simple framework can speed up your writing process. Try this one:

Hook – Start with a relatable question, bold statement, or point of conflict.

Insight – Share the main takeaway in 1-2 sentences.

Example – Give a real-world example to make your point clear.

Action Step – End with something practical the reader can do, in relation to the question/statement/conflict.

Once you have a set structure you’re happy with, filling in the blanks becomes much faster.

If you’ve ever written a health-related post and thought, “This sounds generic,” you’re not alone. Many wellness professionals worry that their content blends in with the crowd, but the solution isn’t to sound more dramatic or salesy. The key is to infuse your expertise and personality into your writing so it feels engaging, trustworthy, and unmistakably yours. When your content reflects your authentic approach to health, you naturally attract clients who align with your philosophy and are ready to invest their money. (YAY for not resorting to gimmicks or hard selling!!!) Now, let’s check out some ways to convert clients/patients through your writing.

1. Add contrast to your content writing.

Repeat after me: Effective health business content is dynamic.

One solid way to add dynamics to your content is through contrast. Contrast keeps your writing engaging by varying sentence structure, tone, and pacing. It also makes your voice feel more natural and effortless.

Instead of:
“A well-balanced diet supports good health. It’s important to eat nutritious meals every day.”

Write this:
“Some days, eating healthy feels easy. Other days, you just want to eat a bag of chips for dinner. The good news? A balanced diet doesn’t require you to be perfect. It just requires consistency.”

The second version includes sentences of contrasting lengths and styles. Overall, it flows more naturally, feels relatable, and draws the right people in (AKA those who share your perspective on healthy eating).

2. Replace generic phrases with vivid details.

Words like “game-changing,” “amazing,” and “high-quality” are overused and don’t create a connection with potential buyers. Instead, specificity makes your message feel more tangible and personal.

Instead of:
“This supplement boosts energy and supports overall wellness.”

Add specificity with this:
“This supplement helps you wake up refreshed, avoid the afternoon slump, and stay focused…without the caffeine crash!”

When you write with clarity, your audience immediately recognizes how your offer fits into their life. You don’t have to push them toward a sale; they naturally lean in because they see themselves in your message.

3. Make your health business content conversational.

Many people default to a formal tone in their writing because they think it makes them sound more scientifically sound or professional. But stiff, robotic language can create distance between you and your audience. The easiest way to make your writing more engaging? Read it out loud. If it doesn’t sound like something you’d say in conversation, then rewrite it.

Remove this:
“Proper hydration is necessary for optimal bodily function.”

Write this:
“Volume isn’t the only aspect of staying hydrated. Proper hydration is so much more involved than you might think. It affects your energy, digestion, and even your mood.”

When your content feels natural, the right people will feel drawn to you. You’re not trying to win them over; you’re simply expressing your perspective. Those who align with it will recognize your offer as the right choice for them.

By embracing your voice, your message becomes a magnet. The more you trust that your right-fit clients will find you, the less you have to chase them.

Magnetize the Right Clients with Wellness Leader Lab: If you want your health content to attract the right clients (not the leads who take years of pushing and convincing), then Wellness Leader Lab ($44/month) is here to help. Get instant access to self-paced digital templates and tools that make writing easier and more effective — so your message compels the people you most want to serve.

Many entrepreneurs owners hesitate to post content because they second-guess their writing. They wonder if it’s “good enough,” rewrite it multiple times, then often end up posting nothing at all. This cycle of overthinking leads to inconsistency, and inconsistency leads to fewer results. The good news? Writing with confidence is a skill that can be developed. The most persuasive writing comes from a place of self-assurance (when you trust your voice instead of waiting for permission from others.) This guide will help you begin to break the overthinking cycle and write as the self-assured leader you deserve to be.

1. Stop hedging your words.

When you lack confidence in your message, it shows in your writing. You might find yourself using phrases like:

“I think this might be helpful…”

“You could try this if you want…”

“Maybe this will work for you…”

“It’s possible that this could improve your energy levels…”

“You might find this useful, but it depends on your situation…”

Hedging weakens your message and makes it easier for readers to dismiss it. Instead, state your point clearly and with conviction.

Instead of: “I think this might help improve your energy,” say:

“This is the simplest way to increase your energy without relying on caffeine.”

People engage with content that feels authoritative and well-researched. If you’re uncertain about what you’re saying, then your audience will be, too.

2. Write like you’re talking to one specific person.

If writing feels overwhelming, imagine you’re speaking to a beloved client or a friend. The more conversational your tone, the easier it is for readers to connect with your message.

Instead of: “It is important to maintain a balanced diet for optimal health,” say:

“If you’ve ever felt sluggish after a big meal, here’s why – and how to fix it.”

Clarity always wins over complexity.

3. Set a time limit for writing.

Don’t force yourself to write a perfect final draft within your first writing session. Perfectionism kills creativity. Instead of agonizing over every word, set a timer for 10-20 minutes, write without stopping, and walk away. This simple process is called incubation. When you come back with fresh eyes, it becomes easier to refine your ideas without overthinking them.

Listen to Kat’s free audio series: 30 Days to Confident Writing for Business. This 30-part series (shared through The Wealthy Writer Podcast) gives you a mix of insights for personal growth, self-expression, and self-confidence…which all support your personal lifestyle and your professional success. See the full series here.

If you’ve ever posted content that seemed to go unnoticed, you’re not alone. Many business owners and content creators struggle with engagement, and often, it has nothing to do with the algorithm. The issue is usually in the messaging. More specifically, there’s a lack of persuasion within the messaging. In this guide, we’ll dig a bit deeper and explore three reasons why your content isn’t getting the engagement you’re hoping for.

1. You’re focusing on your offer instead of the problem it solves.

Your audience doesn’t wake up thinking, “I need to find a new service provider today.” They wake up thinking about their challenges. If your content focuses too much on what you do, rather than the problem you solve, people will scroll past it.

Instead of saying, “I help clients with meal planning,” write this:

“Tired of spending 30 minutes staring at your fridge, wondering what to eat? Here’s a simple way to make meal planning effortless.”

This small shift makes your writing instantly more persuasive. By framing your message around their experience, you create a natural pull that makes them want to keep reading…and take action!

2. You’re using abstract language instead of clear, tangible messaging.

Persuasive writing thrives on clarity – on a message one can touch, hear, smell, or taste. If your writing is full of phrases like “empowerment,” “holistic transformation,” or “well-being optimization,” you might be losing your audience. People don’t engage with vague ideas; they engage with words that create a clear picture.

Instead of: “Our holistic program optimizes well-being,” write this:

“We help you wake up energized, feel lighter, and actually enjoy healthy eating without overcomplicating it.”

The second version is more persuasive because it taps into specific emotions and experiences. When your writing makes people see and feel the benefits, they’re far more likely to engage, remember, and take the next step.

3. You’re writing for everyone instead of shifting the way one person thinks.

When you try to speak to everyone, your message resonates with no one. Instead, imagine writing to just one person (your ideal client, patient, etc.). Ask yourself:

What are they struggling with?

What sort of questions are they asking?

Which objections are holding them back?

Which limiting beliefs are keeping them stuck?

Which myths need to be dismantled before they see a new possibility?

When your content helps someone think differently – whether it’s about their body, mind, beauty, or daily lifestyle choices – they naturally become more open to change. That’s the power of persuasion.

Before you hit publish, ask yourself: “Would my ideal client recognize themselves in this writing? Would they stop scrolling, reflect on my message, and take action?”

Polished, error-free writing can make or break your credibility as a brand founder or industry leader. Whether you’re crafting long-form blog posts or short-form social media captions, Grammarly is a powerful tool to ensure your content shines. This guide will show you how brands use Grammarly for proofreading and editing effectively, while understanding its limitations and best practices.

Editing vs. Proofreading: What’s the Difference?

To refine your writing, it’s essential to understand the distinction between editing and proofreading:

What is Editing?

Editing focuses on improving structure, clarity, and flow. This step ensures your ideas are well-organized, your tone aligns with your audience, and your sentences are concise.

What is Proofreading?

Proofreading polishes the technical details – correcting grammar, spelling, punctuation, and formatting issues.

What is Grammarly?

Grammarly is an artificial intelligence tool that excels at both editing and proofreading. Its suggestions for rephrasing and conciseness align with editing, while its corrections for typos and grammar fit the scope of proofreading. Whether you’re brainstorming a blog post, writing a press release, simplifying your podcast introduction, or finalizing a sales email, Grammarly can support different stages of your creative process.

Understanding Grammarly’s Scoring System

Grammarly offers an Overall Score for your writing based on these key metrics:

Clarity: Measures readability and ensures concise phrasing.

Engagement: Suggests ways to make your writing more dynamic and engaging.

Delivery: Adjusts tone for appropriateness and audience.

Correctness: Flags technical errors in grammar, spelling, and punctuation.

While the score can serve as a quick quality check, remember that context matters. A lower score doesn’t necessarily mean bad writing. It might simply mean your writing style is unconventional or tailored to a specific audience.

Free vs. Paid Features: What’s the Difference?

Grammarly offers both free and premium options, catering to different needs:

Free Version of Grammarly

Basic grammar, spelling, and punctuation checks.

Tone detection for improving communication clarity.

Premium Version of Grammarly

Advanced grammar and style suggestions.

Vocabulary enhancements to improve word choice.

Plagiarism detection, ideal for blogs, research, or client projects.

Tone and formality adjustments for emails, reports, and marketing copy.

The free version works well for everyday content, but if you’re producing professional writing for your business, the premium version offers additional tools to elevate your work.

Why Human Editing Is Still Essential

Grammarly is an incredible tool, but it isn’t perfect. AI editing lacks the nuance and intuition of a human reader. Here’s why a final human review is crucial:

Context Matters

Grammarly may not understand cultural references, industry-specific jargon, or the desired tone of your message.

Emotional Resonance

A person can spot whether your writing feels genuine or overly persuasive. AI suggestions might unintentionally strip away personality.

Accuracy in Nuance

Humans can catch inconsistencies, awkward phrasing, or unintended double meanings that Grammarly might miss.

Best Practice

Use Grammarly to catch technical issues and streamline your writing, then follow up with a manual review – or ask a trusted peer or editor to provide feedback.

How to Use Grammarly for Long-Form and Short-Form Content

Grammarly adapts to various types of brand content. Here’s how to use it effectively:

For Long-Form Content (Blogs, Reports, eBooks)

1. Draft your content in your preferred platform (e.g., Google Docs).

2. Copy the draft into Grammarly for an in-depth analysis.

3. Set your writing goals in Grammarly to align with your audience and tone.

4. Address suggestions in stages. Start with clarity and engagement, then move to grammar and correctness.

For Short-Form Content (Social Media, Emails, Ads)

1. Follow the steps above, and/or:

2. Use the Grammarly browser extension to check content directly in email platforms or social media scheduling tools.

3. Prioritize brevity and tone when reviewing suggestions.

4. Tailor your tone for the platform (e.g., casual for Instagram, professional for LinkedIn).

Bonus Tip: Maximize Grammarly’s Effectiveness

Set Goals for Each Project

Use Grammarly’s goal-setting feature to customize its recommendations based on formality, intent, and audience.

Learn from Recurring Suggestions

Pay attention to patterns in Grammarly’s corrections to improve your skills over time.

Combine AI with Your Brand Voice Guidelines

Use Grammarly alongside your Brand Voice Guidelines to maintain consistency in tone and word choice.

Take Advantage of the Browser Extension

Grammarly works in real time on platforms like WordPress, Gmail, and social media, saving you from copy-pasting content.

What We Covered

Grammarly is a game-changer for editing and proofreading your business’s content, but it’s not a one-stop solution. By pairing Grammarly’s insights with a thoughtful human review, you can ensure your content is clear, professional, and true to your brand’s voice.

Your next revenue goal will require some research. Oh, fun, research!! I promise you, once you identify the digital tools that will strengthen your sales funnel and grow your business, it’ll all be worth it.

Selecting the best digital tools for your business depends on a few key factors:

Your budget

Your lifestyle

Your writing skills

How much you want to be hands-on in your business versus outsourcing tasks

Creating a streamlined sales funnel is essential for turning potential clients into paying customers. Here’s a breakdown of an example sales funnel that uses digital tools to keep your business running smoothly and attract clients even when you’re offline.

Business Tools for Attracting Leads

In any sales funnel, the first stage is capturing attention. You’ll want to create consistent, high-quality content that draws people in, whether it’s through social media, blog posts, or videos.

iPhone Camera Filter

Your phone camera is more powerful than you might think! With the right settings and filters, you can capture polished, branded photos and videos with consistent lighting, shadows, and colors every time. This helps create a cohesive look for your brand, increasing recognition and trust.

ChatGPT

Use ChatGPT to organize your content ideas and adapt your writing to different brand voices. This is especially helpful for creating engaging captions, blog posts, and even product descriptions. ChatGPT can help keep your tone consistent, no matter the platform.

Business Tools for Nurturing Your Audience

After attracting your audience, you need to build a relationship with them. Automated email sequences, social media posts, and interactive content can all help establish credibility and nurture leads.

Instagram Scheduler

Scheduling tools can help you keep up with regular posting without taking up too much of your time. You can plan and publish carousels, reels, or stories even while you’re busy with other responsibilities. The more consistent you are, the more likely you’ll stay top of mind for your followers.

Meta Ads Manager

Meta Ads Manager is ideal for running targeted ad campaigns on Facebook and Instagram. You can reach new audiences and drive them to your landing page, helping you capture more leads. The tool also provides insights, so you know what’s working and can adjust as needed.

Business Tool for Capturing Leads

Once people are interested, the next step is to capture their contact information. This is where you transition from social media followers to subscribers or potential clients who are closer to converting.

Kit

Kit (formerly known as ConvertKit) allows you to create landing pages where people can subscribe to your email list. This is an essential step in building a relationship with your audience. Kit also sends automated email sequences that keep subscribers engaged with valuable content, moving them toward your website.

Business Tool for Converting Leads

After capturing leads, it’s time to make the official sale. You can do this by reiterating your deliverables, as well as creating personalized interactions that help them feel confident about working with you.

HoneyBook

HoneyBook is a client management system that organizes client inquiries, manages project timelines, and handles contracts and payments. This tool not only keeps you organized but also provides a smooth client experience, so leads feel taken care of every step of the way.

Business Tools for Automating Your Sales Funnel

While the above tools cover the essentials, here are a few more to consider for automating and optimizing your sales funnel:

Website Plugins

Depending on your website builder, plugins can add additional features like lead capture forms, SEO tools, and more.

Zapier

Connects your apps and automates workflows, which is perfect for making repetitive tasks easier.

IFTTT (If This Then That)

Automates various tasks and helps you streamline workflows across different platforms.

Wrapping Up

Choosing the right tools for your sales funnel can save you time, automate tasks, and make your business more efficient. Remember to pick tools that match your budget, lifestyle, and the level of involvement you want in your business. Book a 1-on-1 coaching call with me to build your sales funnel in the most efficient way possible.

“It only takes a minute if you wait ‘til the last minute.” Okay, maybe not the best advice if you want to promote your business with care. But if you’ve been struggling with your content creation process, then I have a feeling this guide should help.

A few weeks ago, I set myself up at a cafe only 90 minutes before they closed. I had two client projects to complete, and I knew it was now or never.

Not the time to scroll through Instagram, comparing myself with other marketers or content/copywriters.

Also not the time to second guess these client projects, which were already 75% done.

I did this to/for myself, knowing there would be a sense of urgency.

But what I didn’t know was that the cafe would be playing a fun Beatles playlist! So I got to sing and bop in my chair while writing:

SEO-friendly blog content for a law firm

a lighthearted and personable sales email for a skin spa

Ninety minutes later, I completed my to-do list *and* some.

Adding Deadlines to Your Creative Process

What about you?

What’s the deal with *your* creative process? Been overthinking it? Losing yourself in the social media scroll?

Ever thought about adding deadlines to your process? The point isn’t to feel stressed out of your mind while a blank Canva slide or Google Doc stares back at you.

Instead, deadlines help you realize you *can* produce effective content when:

life gets busy

you don’t have an on-staff marketing person

your business demands 500 things from you

What if deadlines aren’t quite doing the trick? Perhaps this is why your content creation feels like a waste of time:

You’re selling a half-baked product.

It *is* a waste of time.

There is zero urgency in your creative process.

Perfectionism is holding you back.

You rely on single-use content.

Your body and soul aren’t ready to focus.

You’re not using any content templates.

Let’s dive deeper into each factor, along with questions you can ask yourself to actually start enjoying the content creation process.

7 Reasons Your Content Creation Process Feels Like a Waste of Time

Half-Baked Product

Your product or service isn’t clear, valuable, and deliverable. If you’re not able to explain what you’re selling in simple terms — and deliver on your promises — how is your audience supposed to get excited to give you their money?

Ask yourself: “Have I created something people don’t value or understand?”

It *Is* a Waste of Time

Your business model is set up in such a way that only you can complete high-level projects. Therefore, you should be outsourcing your emails, blog posts, and social media posts to a creative studio or marketing agency.

Ask yourself: “What is my behind-the-scenes hourly pay rate, and which tasks are worth less than that rate?”

Zero Urgency

You sit down to create content whenever you feel 100% up for it…which is less often than your business needs. Maybe you track your time, but you’re not using the Pomodoro Method or another simple tool to add urgency to your process.

Ask yourself: “How can I place limits on my creative work sessions without sacrificing quality?”

Perfectionism

Every pixel of your Canva graphic must be perfect, and every word in your IG caption must be written by the angels above…or else all of your professional skills mean NOTHING. How silly does this sound out loud? Super silly. Don’t let this subconscious belief slow you down.

Ask yourself: “At minimum, what must my content achieve to be considered post-able?”

Single-Use Content

If you’re trying to reach potential customers or clients on various platforms (instead of just IG or just TikTok), then start repurposing every piece of content. For example, one blog post can become a reel, a thread, an IG story, and a portion of your email newsletter.

Ask yourself: “How can I turn last month’s top three performing posts into nine more high-quality posts?”

Body & Soul

You just binge watched 30 TikToks about the latest Dateline horror story, and somehow you expect your brain to pump out an inspiring email newsletter about adding more zen to your life in 2023. Not happening.

Ask yourself: “How can I nourish my body, prepare my mind, and set up my environment for optimal creativity?”

Zero Templates

Reinventing the wheel every time you want to advertise your offer gets exhausting. Countless entrepreneurs share their systems and content templates for free…and they actually work! Why not download one and adapt it to your brand’s specific needs?

Ask yourself: “What is one system I can start implementing to make my writing or designing process more templated and repeatable?”

Speaking of templates…
