As an entrepreneur, you juggle multiple projects, client treatment plans, operations, team-building exercises, and a bunch of other daily responsibilities…all at the same time! Some days, finding time for content creation can feel close to impossible, huh? Want to connect with your audience online, but not at the expense of the work that keeps your business running? Good. Keep reading. In this guide, we’ll highlight ways to systematically keep up with content writing without sacrificing the rest of your workflow.

1. Start with one strong idea, and repurpose it.

Too many business owners think they need to come up with new ideas for every post. Instead, take one strong idea and reshape it into multiple formats.

Example: Let’s say you help clients with anxiety and stress management. Instead of writing five different posts from scratch, start with one topic:

“How to stop overthinking before bed.”

From there, repurpose it into:

A short, actionable “how to” post.

A “mistakes to avoid” post.

A personal story about how you overcame nighttime restlessness and sleep deprivation.

A Q&A post addressing common stress and sleep questions.

One idea, multiple ways to share it.

2. Use AI to streamline your writing process.

Writing content doesn’t have to feel like a never-ending homework assignment. With tools like ChatGPT, you can speed up the process without losing your unique voice. Think of AI as your brainstorming buddy, first-draft assistant, and content multiplier…all rolled into one. Here’s how to make it work for you:

Kickstart Your Ideas – Staring at a blank page is no fun. ChatGPT can throw out blog topics, outline key points, or even help you reframe an idea in a fresh way. Need a catchy headline for your wellness post? AI can spit out a dozen, so you don’t have to.

Draft Faster, Edit Smarter – You don’t have to agonize over every word in your first draft. Give AI a prompt, and it’ll generate a rough version you can refine. If you’re crafting an Instagram caption about gut health, ChatGPT can offer multiple variations, letting you choose the one that fits your brand’s tone best.

Turn One Idea Into Many – Like I mentioned above…why stop at one piece of content when AI can help you repurpose it? A single blog post can become an email, a post for Threads, or even a script for a short video.

AI won’t replace your creativity (and let’s be honest, it’s got nothing on your personality), but it can free up your time so you can focus on what you do best.

3. Set a time limit for writing.

Writing takes as much time as you give it. If you allow yourself two hours to write one post, you’ll probably take the full two hours. Instead, set a timer for 20 minutes and challenge yourself to finish a rough draft.

You can always edit and proofread later, but getting the words out quickly makes content creation feel easier.

4. Use a template for structure.

Every post doesn’t need to be reinvented from scratch. A simple framework can speed up your writing process. Try this one:

Hook – Start with a relatable question, bold statement, or point of conflict.

Insight – Share the main takeaway in 1-2 sentences.

Example – Give a real-world example to make your point clear.

Action Step – End with something practical the reader can do, in relation to the question/statement/conflict.

Once you have a set structure you’re happy with, filling in the blanks becomes much faster.

If you’ve ever posted content that seemed to go unnoticed, you’re not alone. Many business owners and content creators struggle with engagement, and often, it has nothing to do with the algorithm. The issue is usually in the messaging. More specifically, there’s a lack of persuasion within the messaging. In this guide, we’ll dig a bit deeper and explore three reasons why your content isn’t getting the engagement you’re hoping for.

1. You’re focusing on your offer instead of the problem it solves.

Your audience doesn’t wake up thinking, “I need to find a new service provider today.” They wake up thinking about their challenges. If your content focuses too much on what you do, rather than the problem you solve, people will scroll past it.

Instead of saying, “I help clients with meal planning,” write this:

“Tired of spending 30 minutes staring at your fridge, wondering what to eat? Here’s a simple way to make meal planning effortless.”

This small shift makes your writing instantly more persuasive. By framing your message around their experience, you create a natural pull that makes them want to keep reading…and take action!

2. You’re using abstract language instead of clear, tangible messaging.

Persuasive writing thrives on clarity – on a message one can touch, hear, smell, or taste. If your writing is full of phrases like “empowerment,” “holistic transformation,” or “well-being optimization,” you might be losing your audience. People don’t engage with vague ideas; they engage with words that create a clear picture.

Instead of: “Our holistic program optimizes well-being,” write this:

“We help you wake up energized, feel lighter, and actually enjoy healthy eating without overcomplicating it.”

The second version is more persuasive because it taps into specific emotions and experiences. When your writing makes people see and feel the benefits, they’re far more likely to engage, remember, and take the next step.

3. You’re writing for everyone instead of shifting the way one person thinks.

When you try to speak to everyone, your message resonates with no one. Instead, imagine writing to just one person (your ideal client, patient, etc.). Ask yourself:

What are they struggling with?

What sort of questions are they asking?

Which objections are holding them back?

Which limiting beliefs are keeping them stuck?

Which myths need to be dismantled before they see a new possibility?

When your content helps someone think differently – whether it’s about their body, mind, beauty, or daily lifestyle choices – they naturally become more open to change. That’s the power of persuasion.

Before you hit publish, ask yourself: “Would my ideal client recognize themselves in this writing? Would they stop scrolling, reflect on my message, and take action?”

Feeling overwhelmed by scattered content ideas and endless drafts? Let Google Docs be your homebase for creating, refining, and organizing content for your social media, email campaigns, and website. Whether you’re a solopreneur or a small business owner, this free tool can help streamline your entire content process. Ready to begin? This guide will highlight the best ways businesses use Google Docs.

Why Google Docs Is Perfect for Content Creation

Google Docs is a powerful, user-friendly platform that simplifies the way you create and manage content:

Free and Accessible: All you need is a Google account to get started.

Cloud-Based: Access your documents from any device, anywhere, anytime.

Collaboration-Friendly: Share documents with team members or clients, and get real-time feedback.

Organizational Features: Folders, comments, and version history keep everything organized.

How to Write Content in Google Docs

Start with a Template

Save time by creating or using Google Docs templates for your content needs.

For social media, set up a “Caption Template” with fields for the post, hashtags, and a call-to-action.

For emails, build a reusable format for promotions, newsletters, or follow-up messages.

Use Voice Typing for Efficiency

If you’re on the go or brainstorming ideas, Google Docs’ voice typing tool is a game-changer. Dictate your thoughts, and let Google Docs do the typing for you.

Write Without Distractions

Enable “Full-Screen Mode” to block out everything but the document. This is great for focused writing sessions.

How to Edit Content in Google Docs

Share Comments and Suggestions

Add comments to highlight sections that need review or changes.

Switch to “Suggesting Mode” for non-destructive edits. (This is perfect for working with collaborators or co-writers.)

Use Built-In Tools

Google Docs automatically checks your grammar and spelling.

Use the word count feature to ensure you’re staying within platform limits, such as Instagram’s 2,200-character cap…or subject line best practices for email.

Collaborate in Real Time

Share documents with your team or clients to receive immediate feedback and finalize content faster.

How to Organize Your Content in Google Docs

Create Dedicated Folders

Set up folders for different types of content, such as:

“Social Media Content”

“Email Campaigns”

“Website Copy”

For even better organization, create subfolders by month, project, or platform.

Use Clear Document Names

Name your documents consistently for quick identification. For example:

“Instagram_Captions_June2024” or “Instagram – Captions – June 2024”

“SalesEmail_Sequence” or “Sales – Email – Sequence”

Take Advantage of Google Drive Search

Can’t find something? Use the Drive search bar to quickly locate documents by keywords or phrases.

Track Content Changes with Version History

Need to reference an earlier draft? Version history lets you view and restore previous iterations of your content.

Using Google Docs for Social Media Content

Plan and Draft Social Media Captions

Use Google Docs to draft engaging captions for your social media platforms. Include hashtags and CTAs so everything is ready to go when you post.

Batch Create Posts

Write a week or month’s worth of posts in one document to save time and maintain brand consistency.

Collaborate with Designers

Share your captions directly with your graphic designer to ensure the copy matches the visuals.

Using Google Docs for Email Campaigns

Draft and Finalize Emails

Write and refine your email content in Google Docs before transferring it to your email marketing platform.

Save Time with Templates

Templates can streamline repeatable email types, such as onboarding sequences or newsletters.

Centralize Feedback

Keep all edits and suggestions in one place using comments and sharing tools.

Using Google Docs for Website Content

Draft Blog Posts and Web Pages

Plan out blog posts and pages (i.e. homepage, about page, service descriptions) directly in Google Docs.

Collaborate with Web Developers

Share your finalized text with your web developer to ensure the content aligns perfectly with your site layout.

Track Search Engine Optimization (SEO) Changes

Add notes for keywords, meta descriptions, or alt text to ensure your website is optimized for search engines.

Pro Tips for Maximizing Google Docs

Sync with Google Keep

Easily transfer quick ideas from Google Keep into a working draft.

Use Add-Ons

Enhance your experience with add-ons like Grammarly for advanced editing or Word Counter for precise character counts.

Color Code Your Text

Use text colors or highlights to track drafts, revisions, or sections that need attention.

Set Deadlines with Task Assignments

Assign action items directly in the document by tagging collaborators with “@.”

What We Covered

Google Docs is an all-in-one tool that makes it easier than ever to write, edit, and organize your business content. From social media captions to email campaigns and website pages, you can keep everything streamlined and accessible in one place.

“It only takes a minute if you wait ‘til the last minute.” Okay, maybe not the best advice if you want to promote your business with care. But if you’ve been struggling with your content creation process, then I have a feeling this guide should help.

A few weeks ago, I set myself up at a cafe only 90 minutes before they closed. I had two client projects to complete, and I knew it was now or never.

Not the time to scroll through Instagram, comparing myself with other marketers or content/copywriters.

Also not the time to second guess these client projects, which were already 75% done.

I did this to/for myself, knowing there would be a sense of urgency.

But what I didn’t know was that the cafe would be playing a fun Beatles playlist! So I got to sing and bop in my chair while writing:

SEO-friendly blog content for a law firm

a lighthearted and personable sales email for a skin spa

Ninety minutes later, I completed my to-do list *and* some.

Adding Deadlines to Your Creative Process

What about you?

What’s the deal with *your* creative process? Been overthinking it? Losing yourself in the social media scroll?

Ever thought about adding deadlines to your process? The point isn’t to feel stressed out of your mind while a blank Canva slide or Google Doc stares back at you.

Instead, deadlines help you realize you *can* produce effective content when:

life gets busy

you don’t have an on-staff marketing person

your business demands 500 things from you

What if deadlines aren’t quite doing the trick? Perhaps this is why your content creation feels like a waste of time:

You’re selling a half-baked product.

It *is* a waste of time.

There is zero urgency in your creative process.

Perfectionism is holding you back.

You rely on single-use content.

Your body and soul aren’t ready to focus.

You’re not using any content templates.

Let’s dive deeper into each factor, along with questions you can ask yourself to actually start enjoying the content creation process.

7 Reasons Your Content Creation Process Feels Like a Waste of Time

Half-Baked Product

Your product or service isn’t clear, valuable, and deliverable. If you’re not able to explain what you’re selling in simple terms — and deliver on your promises — how is your audience supposed to get excited to give you their money?

Ask yourself: “Have I created something people don’t value or understand?”

It *Is* a Waste of Time

Your business model is set up in such a way that only you can complete high-level projects. Therefore, you should be outsourcing your emails, blog posts, and social media posts to a creative studio or marketing agency.

Ask yourself: “What is my behind-the-scenes hourly pay rate, and which tasks are worth less than that rate?”

Zero Urgency

You sit down to create content whenever you feel 100% up for it…which is less often than your business needs. Maybe you track your time, but you’re not using the Pomodoro Method or another simple tool to add urgency to your process.

Ask yourself: “How can I place limits on my creative work sessions without sacrificing quality?”

Perfectionism

Every pixel of your Canva graphic must be perfect, and every word in your IG caption must be written by the angels above…or else all of your professional skills mean NOTHING. How silly does this sound out loud? Super silly. Don’t let this subconscious belief slow you down.

Ask yourself: “At minimum, what must my content achieve to be considered post-able?”

Single-Use Content

If you’re trying to reach potential customers or clients on various platforms (instead of just IG or just TikTok), then start repurposing every piece of content. For example, one blog post can become a reel, a thread, an IG story, and a portion of your email newsletter.

Ask yourself: “How can I turn last month’s top three performing posts into nine more high-quality posts?”

Body & Soul

You just binge watched 30 TikToks about the latest Dateline horror story, and somehow you expect your brain to pump out an inspiring email newsletter about adding more zen to your life in 2023. Not happening.

Ask yourself: “How can I nourish my body, prepare my mind, and set up my environment for optimal creativity?”

Zero Templates

Reinventing the wheel every time you want to advertise your offer gets exhausting. Countless entrepreneurs share their systems and content templates for free…and they actually work! Why not download one and adapt it to your brand’s specific needs?

Ask yourself: “What is one system I can start implementing to make my writing or designing process more templated and repeatable?”

Speaking of templates…

As a solopreneur — or someone who runs a one-person business — my desire is to grow my team over time, so I don’t have to say no to dream clients.

In the meantime, it’s just me. The kind of growth I’m imagining requires both mindset work and hands-on strategy.

Here’s what I’m doing online and offline, to grow my service-based B2B business.

How I’m Growing My Business Online

Every day I’m focused on improving my business ownership by 1%.

Showing face

Writing content

Giving gifts

Emailing leads

Educating myself

Delivering my service with quality and care

How I’m Growing My Business Offline

Behind-the-scenes personal work is just as valuable as the projects that we typically associate with business development.

Eating well

Asking for help

Prioritizing sleep and rest

Trusting the process of life

Saying no to some extracurriculars

Understanding I have value with or without a business

Over the past few weeks, I’ve been doing my best to plan out my business procedures ahead of time. When I say “ahead of time” I mean, I’m already thinking about July and August…which used to only happen when I was an eight-year-old looking forward to a Disney trip.

Instead of only looking at the current month, I’ve been tidying up my calendar and creating content months in advance, because I’m anticipating a super busy season throughout the spring and early summer.

Not only will it be busy, but it’ll be full of new projects and goals I’ve never tackled before. I’m 100% up for it, but at times I can’t help but feel nervous.

It’s like starting a new semester at school. In a general sense I know what to expect. I’m happy to be here. But there are still surprises coming my way, which sometimes feel like cute butterflies and other times more like creepy crawlies.

At the end of the day, I know I can only control so much. There’s no predicting what the next few months will look like. All I can do is my best.

If you’re also anticipating a full schedule or new challenges during quarter two (April – June), then maybe these safety nets will help.

Safety Net #1: Expectation Setting

Clearly communicating expectations with clients during onboarding

Pacing myself within a given month so my clients see firsthand how I prefer to do things

Using my words intentionally, so they match my actions (and vice versa)

Leaving room to pleasantly surprise my clients and audience, by not overextending myself from the start

Safety Net #2: Stress Relief

Dedicating time each day to physical exercise, both indoors and outdoors

Being mindful of what I’m feeding my body, and how it might affect my brain power

Sticking to a standard sleep schedule, but giving myself extra rest when I need it

Spending time on activities that don’t have a particular goal attached to them (AKA play!)

Safety Net #3: Energy Management

Tackling the more complex to-do’s first so I can enjoy the sense of accomplishment

Moving onto more familiar or less intimidating tasks later in the day

Recognizing my most productive times of day, and applying those observations to my weekly planning

Honoring the way my energy shifts as a result of my monthly menstrual cycle

The idea behind these safety nets is this: Instead of assuming everything will simply work out, you’re stepping up to the challenge, solving small puzzles before they become massive problems, and letting the rest happen as it may.

And if you fall, there’s something beneath you to keep you from completely wiping out.

It’s a mix of “be responsible enough to prevent major setbacks” and “life was never meant to be predictable.”

Well, my friend…enjoy quarter two!

Changes that occur within your business will always demand you to change on a personal level. You have the choice to grow through your circumstances and challenges, or become weighed down and stressed out.

A thriving business with a connected audience is oftentimes (not always) a reflection of behind-the-scenes professional growth. I’d love to share a few quick tips for growing professionally as you grow your audience.

6 Tips for Professional Growth

Lead with benevolence.

Give your time and energy first before expecting your audience to give you their attention, time, trust, and especially their money. Understand that taking the lead in this relationship with your audience is going to cause discomfort (i.e. creating content for free), but that is exactly what will grow you into a stronger business owner.

Don’t be fooled by the alternate reality of social media.

Social media apps are built to keep us addicted and distracted. Be an observer of the game. Witness the trends and ways you can help your business grow. But do not center your sense of self-worth around social media feedback and the dopamine hits you get from likes, follows, and comments.

Use comparison and competition wisely.

Watch what successful brands are doing online, and learn how to dissect the elements that you can apply to your brand. Be sure to do this without stealing, plagiarizing, or discounting your original ideas.

Don’t take your business losses personally.

You will make plenty of mistakes along the way. Do not count criticism and mistakes made within your business as permanent marks against your personal character.

Clarify your priorities.

On a daily basis, prioritize the activities that count toward sales and leverage. Activities that count toward vanity metrics (like the number of followers you have), not real meaningful change (like the percentage of followers who turned into paying customers), might be a waste of time.

Be intentional about stepping away from your work.

Make a point to play, rest, and spend time with your friends and family. Form deep connections with yourself, other people, and aspects of nature that bring you joy.

I’m wishing you the best as you grow your ideal audience!
